Retainers, packages and add-ons

Photographers usually take a retainer to hold the date and invoice the balance before or after the shoot. Packages cover coverage hours and a number of edited images; extra hours, images and prints are billed as add-ons.

Prints and albums are physical goods, taxable in most sales tax states, so keep them on their own lines. Some states tax more: in California, if a job includes any physical copy, the session fee, assistants and travel are taxable too, while images delivered only by download generally are not.

On a photographer's invoice

  • Event date and location. In the package line detail.
  • Package and coverage. Hours of coverage and the number of images included.
  • Retainer received. Entered as a payment so the balance is right.
  • Prints and products. Each product on its own line, taxed where it applies.
  • Usage terms. A short note on image rights, if your contract grants them.

Billing the balance after a shoot

  1. Put the package first. Coverage hours, event date and venue in the detail.
  2. Add the extras. Second shooter hours and additional edited images.
  3. Give prints and albums their own lines. Tick Taxable on them.
  4. Bill travel. Miles times your rate, or a flat fee, with the destination.
  5. Subtract the retainer. It goes under Payments received, and the balance due follows.

Only the album is taxed here, at 8%, the Franklin County, Ohio rate, because physical products are taxable in Ohio as in most states with a sales tax. California goes further: a job that includes any physical copy can make the session fee taxable too.

Payment terms: Net 15

The sample gives the couple Net 15 for the balance. Wedding contracts often set the balance due before the event date instead; pick Custom date in the generator and enter that day.

Proposals and retainer receipts for bookings

Send the photography estimate template as a priced proposal with the retainer as its deposit. When the retainer arrives, a photography receipt confirms the date is held.

Frequently asked questions

How do I show a photography retainer on the invoice?
Enter the retainer in Payments received. The invoice shows the package total, the retainer paid and the balance due.
How do I bill travel?
As its own line, either a flat fee or miles times your rate. Put the destination in the detail.
When should I send the balance invoice?
Many photographers bill the balance a set time before a wedding or event so it is paid before the day, and bill portrait sessions on gallery delivery. Use the due date your contract sets.
