Rent receipt example: part of November paid in cash

A tenant in Baltimore owes $1,450.00 for November and hands the property manager $1,000.00 in cash on November 3. Maryland requires a written receipt for cash rent, so the manager writes one on the spot. It shows the full rent, the cash received and the $450.00 still owed.

What to write on a rent receipt

Every template here has these nine parts. The online version fills in the amount in words and the balance for you.

FieldWhat to put
Receipt numberNumber receipts in order, for example by year and month (2611 for November 2026). A gap in the numbers is easy to spot.
Date receivedThe day the money reached you, not the day rent was due. If rent was late, the two dates tell that story.
Tenant and landlordWho paid, and who took the money: the owner, a management company or an agent acting for the owner.
Property and unitThe street address with the apartment or unit number, so the receipt cannot be read as covering a different home.
Rent periodThe first and last day the payment covers. A receipt that only says “October” is weaker than one that says October 1 to October 31.
ChargesRent first, then a late fee or other charge only when the lease allows it and it was actually owed.
Amount received and balanceWhat was handed over, in figures and in words, and what is still owed for the period.
MethodCash, check, money order, card or transfer, with the check, money order or transfer number.
Signature, name and titleThe person who took the payment signs and prints their name and role, such as owner or property manager.

When a landlord must give a rent receipt

New York. A landlord must give a written receipt for rent paid in cash, or by money order or anything other than the tenant's own personal check. It must show the date, the amount, the premises and period paid for, and the signature and title of the person who received it.

A tenant paying by personal check can ask in writing for receipts, and the request lasts for the whole tenancy. A receipt is due immediately when rent is paid in person and within fifteen days when it is sent another way. Landlords keep a record of cash rent receipts for at least three years (Real Property Law 235-e).

Maryland. A landlord or agent must give a receipt when rent is paid in cash or when the tenant asks for one, and a landlord who does not can owe the tenant $25. Anne Arundel County has its own, broader receipt rule (Real Property 8-205).

Elsewhere. Many states have no general rent receipt law, and some cities and counties add their own. Giving a receipt for every cash payment costs little and settles most later disputes about whether rent was paid.

Partial rent, late fees and other charges

Put the late fee on its own line, and only when the lease provides for one and it is actually owed. A receipt that rolls a fee into the rent hides what the tenant paid for.

For a partial payment, leave the full rent in the charges and enter what you received. The balance shows what is still owed for that period, and the Excel rent log carries it into the next month until it is paid.

Security deposits get their own receipt

A deposit is the tenant's money held against damage or unpaid rent, not rent. Write it on a separate receipt that names the property, the amount and the date, using the receipt generator without the rent preset. States set their own rules for how deposits are held and returned, so check your state before you take one.

Keeping a rent log in Excel

The Excel file has a second sheet, Rent log. Enter each month's rent and any fee, then each payment with its date, method and receipt number. Balance owed adds up across the year, so a short month stays visible until it is paid. The year total row gives you the rent received for that tenant.

That total feeds your tax records. The IRS treats rent you receive as income, and Publication 527 explains how to report it and which expenses of a rental you can deduct. A tenant's security deposit is not income while you plan to return it.

Rent receipt template for Google Docs and Sheets

For other payments, such as a deposit on a job or a sale, use the general receipt generator. To bill a tenant for a repair or utility before they pay, use the invoice generator.

Rent receipts are for rent actually received. A receipt for rent that was not paid, or one made to look as if it came from a landlord who did not issue it, can be fraud. Read our acceptable use policy.

Frequently asked questions

What is a rent receipt?
A written record, given by a landlord or their agent, that a tenant paid rent. It names the tenant, the property, the period the rent covers, the amount received, the date and how it was paid, and it is signed by the person who took the money.
Do landlords have to give rent receipts?
It depends on the state. New York requires one for rent paid in cash or by anything other than the tenant's personal check. Maryland requires one when rent is paid in cash or the tenant asks. Many states have no general rule, but a receipt for cash is good practice everywhere.
Is a rent receipt template free here?
Yes. The Word, Excel and PDF files and the online rent receipt maker are free, with no signup, no watermark and no limit.
Can I make a rent receipt online?
Yes. Open the receipt generator with the rent preset, enter the tenant, property, period and the amount you received, then download a PDF. It keeps your landlord details in your browser for next month. Open the rent receipt maker.
What if the tenant paid only part of the rent?
Write the full rent for the period, the amount you received and the balance still owed. Issue a second receipt when the rest is paid, and note the rent period on both so they clearly belong together.
Should a security deposit go on a rent receipt?
No. Give a separate receipt for a security deposit. Many states have their own rules for holding and returning deposits, and mixing deposit money into a rent receipt makes those records harder to follow.
How long should a landlord keep rent receipts?
New York requires landlords to keep records of cash rent receipts for at least three years. For federal taxes, the IRS generally says to keep records supporting a return for three years after filing, longer in some cases. IRS: how long to keep records.
Can a tenant write their own rent receipt?
A receipt comes from whoever received the money, so the landlord or their agent issues it. A tenant who needs a record of payments can ask the landlord for receipts or keep bank statements and canceled checks.
Can I email a rent receipt?
Yes. Download the PDF from the receipt maker or fill in the PDF form and email it. In New York, a receipt for rent paid by mail or other indirect means must reach the tenant within fifteen days.
