To get your W-2 from a previous employer, check the old payroll login first, then ask the company’s payroll or HR team and confirm the address they have for you. If it has still not arrived by the end of February, call the IRS, and if it won’t arrive in time, use Form 4852.
Leaving the job does not change what the employer owes you: a W-2 for the wages they paid you, by February 1, 2027 for 2026 pay. You do not have to wait for that date, though. A former employee who asks can get the form much sooner.
Ask early and the 30-day rule applies
If you ask for your W-2 after leaving, and neither you nor the employer expects you to work there again that year, federal rules set an earlier deadline: the later of 30 days after your request or 30 days after your final paycheck. Put the request in writing so you have its date.
Here is how that works for an invented dental assistant in Milwaukee who left in June and sends the request on October 28:
| Date | What happens | Why it matters |
|---|---|---|
| October 28, 2026 | Asks payroll in writing for the W-2, with no plan to work there again this year | The request starts a 30-day clock |
| November 27, 2026 | Later of 30 days after the request or 30 days after the last paycheck (June 19, 2026) | The employer's deadline after that request |
| February 1, 2027 | The deadline for every employee who did not ask early | Mailed to the last address payroll has, or posted online if the worker agreed to that |
| End of January | No W-2 yet: contact the employer and confirm the address | IRS advice |
| After February 2027 | Still missing: call the IRS, which contacts the employer and sends you Form 4852 | IRS advice |
| October 15, 2027 | Last day an online W-2 must stay on the employer's or payroll provider's site | Download it before then |
Asking early has a second benefit: payroll checks your address now rather than in January, when every form goes out at once. An employer meets the deadline by mailing the W-2 to the last address it has, so a move you never reported can send the form to your old door.
What to write
A two-line email to payroll or HR is enough. For example: “I worked here as a dental assistant until June 12. Please send my 2026 Form W-2 to the address below now, as I don’t expect to work for you again this year.” That last clause is what starts the 30 days clock.
Identify yourself with your full name and the last four digits of your Social Security number, never the whole number in an email. If you would like a PDF instead of paper, say so; electronic delivery needs your consent, so the employer cannot switch you to it without asking.
When your old login still works
Many employers publish W-2s on a payroll provider’s employee website. If you agreed to get yours that way, it must stay available there through October 15 of the following year. Check the old login before anything else, and download the PDF while you can rather than relying on access later.
If the login has been shut off, payroll can reissue the form or post it again. A W-2 that came back as undeliverable is not lost either: employers keep returned copies for 4 years unless they can produce them electronically.
When the employer does not send it
If nothing has arrived by the end of January, contact the employer to confirm when it is coming. If it is still missing by the end of February, call the IRS with your name, address, phone number, Social Security number, the dates you worked there, and the employer’s name, address and phone number.
The IRS then contacts the employer and sends you Form 4852, a substitute W-2. You fill it in from your last pay stub of the year and attach it to your return. Our guide to the year-end pay stub shows which totals on that stub belong in which box.
If the real W-2 turns up after you file and its figures differ, file an amended return with the correct ones. The same applies if the employer later sends a corrected W-2c.
Other places the figures live
| Source | What you get | State boxes? | Speed and cost |
|---|---|---|---|
| Old payroll login | The W-2 itself, as a PDF | Yes | Instant, while the login works; online W-2s stay up through October 15 of the next year |
| Payroll or HR, by request | A reissued copy of the W-2 | Yes | Within 30 days of a written request after you leave, or by the normal deadline |
| IRS wage and income transcript | The federal figures your employer sent to Social Security | No | Online once your account is set up; the current year and 9 years before it |
| IRS copy of your return (Form 4506) | Your old return, with the W-2 only if you attached it to a paper return | If attached | $30 a return; up to 75 days |
| Form 4852 | A substitute W-2 you fill in yourself from your final pay stub | You enter them | Only when the W-2 will not arrive in time to file |
The IRS wage and income transcript is the quickest fallback, but it holds only the federal figures your employer sent to the Social Security Administration. It has no state or local tax, so a state return still needs the W-2 or your final pay stub. Figures for the latest year may not be complete yet.
A copy of the actual W-2 from the IRS is rarer than people expect. It exists only if you attached the form to a paper return, and it comes as part of a full copy of that return, for $30 through Form 4506 and up to 75 calendar days of waiting.
If the company has closed
A business that shuts down owes its last W-2s sooner, not later: they are due by the due date of its final Form 941 or 944 for that year. If nobody from the company can be reached, go to the transcript and Form 4852 route above rather than waiting.
Our guide to getting old pay stubs covers tracing a closed company’s payroll provider. Employers who need to issue the forms themselves can see each box worked through in how to fill out a W-2.
